Putting the Team Together
• Develop the right team for your event
• Research, recruit and manage vendors, including, venue, caterers, hotels, valet parkers, florists, graphic designers, photographers and audio visual
• Provide three full-time, professional event planners from Lansdale Associates in the planning and execution of the event
• Recruit and provide a team of experienced Lansdale Associates volunteers to staff the event
• Coordinate and collaborate with staff and volunteers from the client’s organization


Logistics & Strategic Planning
• Develop an overall strategic plan and event structure
• Create and maintain master calendars and timelines
• Manage and create master invitation lists
• Process RSVP’s, donations, guest lists and other relevant information into master ledger
• Draft and manage correspondence to principals and guests
• Provide regular updates on the status of the event
• Organize vendor and client walkthroughs
• Coordinate travel and accommodations for participants


Graphic Design & Collateral
• Draft copy for, and manage the design, production and distribution of, printed materials such as save the date cards, sponsorship materials, invitations, tickets, printed programs and screen images
• Manage mailings working with a professional mailing house
• Create escort or check-in cards, place cards, seating plans, staff badges, and menu cards
Production/Entertainment and
Show Producers

• Create and produce historic celebrations, galas, original shows, concert performances, ceremonies and fundraising events,each with its unique theme and design
• Design content and flow of event program
• Create and oversee appropriate décor, staging, and technical elements
• Recruit and manage the production team including video producers, audio-visual professionals, set and lighting designers,directors, script writers, stage managers and other members of the production team as well as speakers, talent and other participants
• Create scenarios of the evening for distribution to all participants
• Organize rehearsals and production meetings


Fundraising & Financials
• Create and maintain event budget
• Solicit and negotiate vendor bids and contracts
• Advise on development of fundraising plan
• Target leadership and donors, providing useful contacts where possible
• Draft and edit fundraising materials


Executing the Event
• Oversee event logistics, including, greeting and checking-in guests, escorting of VIPs, checking tables, putting out materials,distribution of favors
• Coordinate and implement seating
• Liaise with, and manage all, vendors from set-up and load-in to the conclusion of the event
• Brief and manage all event staff
• Manage audio-visual and staging elements including sound checks and rehearsals
